Your Responsibilities

1. Timetable Management
  • Communicate promptly with students regarding timetable changes, progression, and pathway options
  • Maintain accurate records using the timetable tracker.
  • Coordinate the selection of pathways for students.
  • Communicate details about certificate programs available for students.
  • Ensure SYS is prepared for intake and promptly address any related issues.
  • Collaborate with the Berlin team on English enhancement courses.
  • Collaborate with the Berlin team on Spanish and English lessons (Inlingua)
  • Create modules and add students to Canvas for Study Methods and Research Methodology.
2. Attendance Monitoring
  • Monitor student attendance closely in adherence to the Policy and Process
  • Issue attendance warnings as necessary and track student feedback
  • Prepare attendance reports and handle related queries via the Attendance mailbox
  • Liaise with lecturers regarding attendance registers and any associated issues.
  • Process absence authorization requests, excuses, and Attendance Letter requests.
3. Supervision of Deferrals, term-breaks, withdrawals, and course changes for the BCN/Madrid campus students.

4. Study Tools Support
  • Support newly registered students
  • Offer assistance to students navigating Canvas, the Student Portal, Outlook, and ProQuest, and liaise with departments when necessary
5. Event management including Orientation, info-sessions, and graduation. 
6. Coordinate module surveys and achieve 60% of response rate. 
7. Supporting registration and finalization of registration on campus where needed
8. Support students on non-academic matters:  student services matters, including TIE, accommodation, health insurance and events.
9. Student conduct: Coordinating informal and formal disciplinary processes, meetings, panels, communications, case records and required external reporting.
10. Letters and documentation: Issuing matriculation, partner matriculation, holiday confirmation, attendance, ex-matriculation and visa-support letters.
11. Assist with various administrative/events/operations tasks as needed.

Your profile

Essential
  • An undergraduate degree or equivalent experience. 
  • Customer-focused with excellent interpersonal skills, including professional credibility, relationship building and influencing
  • Professional proficiency in written and spoken English and Spanish. 
  • Ability to multitask and collaborate cross-functional across international teams, good attention to detail and great communication skills.
  • Results-driven, solution-oriented and self-disciplined
  • Ability to multitask in a busy, highly pressured, fast-paced working environment
  • Minute attention to detail, strong adaptability, empathy and resilience
  • Proficiency in Microsoft Office and/or Google Suite
  • Enthusiasm to work in the education sector and to support student success 
  • Excellent presentation skills and a high level of confidence
  • Proactive, self-motivated and achievement-driven with a ‘can-do’ attitude
